TERMS & CONDITIONS OF EXADEL CODE FEST 2026
(hereinafter: „Terms and Conditions”)

ORGANIZED BY EXADEL POLAND SP. Z O.O. AND ITS AFFILIATES

1. General Provisions

  1. The organizer of “Exadel Code Fest 2026 – AI Hackathon” (hereinafter: “Event”) is Exadel Poland sp. z o.o. with its registered office in Warsaw, Emilii Plater 28, 00-688 Warsaw, Poland, together with its affiliated companies (hereinafter collectively referred to as “Exadel”).
  2. Exadel is the only founder of prizes.
  3. The Event is organized as an international initiative and may be conducted simultaneously across multiple countries in which Exadel and its affiliated companies operate.
  4. Participants may join the Event from different jurisdictions, and local organizational aspects may be supported by relevant Exadel affiliated entities.

2. Term of the Event

  1. The Event is conducted in the form of an AI Hackathon. 
  2. The Event schedule is as follows:
    1. April 17, 2026 – announcement of hackathon topics,
    2. April 17-27, 2026 – project development phase,
    3. April 29, 2026 – Award Ceremony and announcement of winners, Award Ceremony presentation.
  3. Exadel reserves the right to modify the schedule at its sole discretion. 

3. Conditions of participation

  1. All Exadel personnel, employees and B2B contractors are entitled to participate in the Event. 
  2. The conditions of participation are:
    1. acceptance of Terms and Conditions;
    2. filling out the form sent via landing page: https://events.exadel.com/event/exadel-code-fest-2/
    3. forming and registering teams consisting of from 2 to 3 participants prior to April 17, 2026, 00:00 CET,
    4. developing and submitting a project (code, presentations and demo recordings) in accordance with the announced topics, before April 27, 2026, 00:00 CET. 
  3. Every person who meets the above-mentioned requirements is a participant of the Event  (hereinafter: “Participant”).
  4. Participation requires access to appropriate technical equipment, including a laptop, stable internet connection, and tools necessary for project development and presentation.

4. Submission of Works

  1. Teams shall develop their projects based on topics announced by Exadel.
  2. Detailed submission requirements and tools/platforms will be communicated separately.
  3. Only projects submitted within the specified timeframe will be considered for evaluation.

5. Evaluation of Projects

  1. Projects will be evaluated by the jury appointed by Exadel.
  2. Evaluation criteria may include, in particular:
    1. innovation and creativity,
    2. technical quality,
    3. business value and applicability,
    4. quality of presentation/demo.
  3. Exadel reserves the right to use any lawful methods and tools to verify the originality and quality of submitted projects. 
  4. There will be one winning team (hereinafter: “Winner”).
  5. The Winner will be chosen a minimum 3 hours before the Awarding Ceremony.

6. Prizes

  1. The Winner will receive laptops as a prize.
  2. The Participants of the top five teams will receive participation prizes (company merchandise).
  3. All Participants will receive special participant’s badge.
  4. Prizes may be subject to taxation in accordance with applicable laws. Exadel reserves the right to substitute prizes with a cash equivalent if required by law or internal policies.

7. Intellectual Property

  1. All intellectual property rights to projects, solutions, and any materials developed during the Event shall belong exclusively to Exadel.
  2. By participating in the Event, Participants agree to transfer all rights, including economic copyrights, to Exadel without additional remuneration, to the extent permitted by applicable law.
  3. The transfer of rights shall cover all known fields of exploitation as of the date of transfer, in particular:
    1. recording and reproduction by any technique, including digital techniques,
    2. distribution, including lending, leasing, and marketing,
    3. public performance, display, broadcasting, and re-broadcasting,
    4. making the Works available to the public in such a way that anyone may access them at a place and time individually chosen (including via the Internet),
    5. use in internal and external business activities of Exadel,
    6. modification, adaptation, translation, and development of derivative works.
  4. Exadel shall have the exclusive right to exercise and permit the exercise of derivative copyrights. Participants waive any rights to authorize the use of derivative works.
  5. To the extent permitted by law, Participants undertake not to exercise their moral rights in a manner that would interfere with Exadel’s use of the Works, and agree to authorize Exadel to exercise such rights on their behalf.
  6. The transfer of rights shall occur upon creation of the Work, without the need for additional statements, and shall cover the entire territory of the world.
  7. Participants undertake that the Works do not infringe third-party rights and that they are entitled to transfer the rights as specified above.

8. Personal Data protection

  1. Data Collection and Processing
    • Types of Data Collected: In connection with your participation in the Event, Exadel may collect and process the following types of personal data:
      • Name, contact information (email address)
      • Professional details (job title, organization, skill set)
      • Participation details (projects submitted, team members, hackathon outcomes)
      • Technical data (IP addresses, device information, and usage data)
      • Images: Photographs, videos, and other media that may include Participant’s likeness, particularly if the Participant is the Winner
      • Any other information the Participant provides during registration or participation.
    • Purpose of Data Collection: The data collected will be used solely for the following purposes:
      • Facilitating Participant’s participation in the Event, including registration.
      • Communicating with the Participant regarding the event.
      • Analyzing and assessing the Event outcomes
      • To provide the Participant with certificates or/and awards
      • Providing post-event follow-ups, including potential opportunities arising from the Event
      • To share the Participant’s achievements on Exadel website and social media (with the Participant’s consent)
      • Complying with legal obligations, including data protection laws and regulations
  2. Legal Basis for Processing
    • Exadel legal basis for processing your personal data includes:
      • Performance of a contract: To fulfill our obligations related to the Participant’s participation in the Event.
      • Legitimate interests: 
        • To manage and improve the Event and ensure its smooth operation;
        • Based on your authorization for the publication of your image, the Event participation and achievements, for the purpose of promoting Exadel.
        • (PL only) Our legitimate interest based on Article 81(2)(1) of the Copyright and Related Rights Act allowing the dissemination of the image of a person constituting only a detail of the whole, aimed at promoting our events.
      • We will ensure that its interests do not override Participant’s privacy rights. You have a right to object to processing based on the legitimate interests.
  3. Data Sharing and Disclosure
    • 3.1. Third-Party Service Providers: Exadel may share the Participant’s personal data with third-party service providers that assist Exadel in organizing the Event. These providers are bound by confidentiality agreements and are only permitted to use the Participant’s data for the purposes of providing services to Exadel.
    • 3.2. 3.2. Publication of Winners: If the Participant is selected as the Winner, his/her name and image may be shared publicly on social media platforms and other external channels, as well as internally within Exadel group, for promotional purposes.
    • 3.3. Legal Requirements: Exadel may disclose the Participant’s personal data if required by law or if it believes such action is necessary to comply with legal obligations or protect the rights, property, or safety of the Participants and the public.
  4. Data Retention
    • Exadel will retain the Participant’s personal data for the duration of the Event and for a period of 12 months thereafter, unless a longer retention period is required by law or necessary for legal proceedings.
  5. Your Rights and other information about data processing
    • Full description of the Participant’s rights and how Exadel process the Participant’s data is contained in the Privacy Notice for Exadel staff that is incorporated into these Terms and Conditions. 
  6. Data Controller
    • The data controller responsible for the Participants’ personal data is Exadel Poland sp. z o.o. with its registered office in Warsaw, Emilii Plater 28, 00-688 Warsaw, Poland.
  7. International Data Transfers
    • 7.1. Due to the international nature of the Event, personal data may be transferred between Exadel entities located in different countries.
    • 7.2. Such transfers will be carried out in compliance with applicable data protection laws, including the use of appropriate safeguards (e.g. standard contractual clauses), where required.

9. Final Provisions

  1. The Event is based on Participants’ skills and is not a gambling game within the meaning of applicable law.
  2. Participation in the Event is entirely voluntary and does not constitute an element of the Participant’s employment duties or contractual obligations towards Exadel.
  3. Participation in the Event shall not be treated as working time, overtime, or performance of professional duties, unless explicitly agreed otherwise in writing with the Participant’s employer or contracting entity.
  4. No additional remuneration, compensation, or other financial benefits shall be due to Participants in connection with their participation in the Event or the development of any projects within the framework of the Event, except for prizes explicitly described in these Terms and Conditions.
  5. Participation or non-participation in the Event shall not affect the Participant’s employment relationship, performance evaluation, or contractual status.
  6. In matters not regulated by these Terms and Conditions, the provisions of Polish law shall apply.
  7. These Terms and Conditions shall be governed by Polish law, unless mandatory provisions of local law applicable to a Participant provide otherwise.
  8. Nothing in these Terms and Conditions shall exclude or limit rights granted to Participants under mandatory provisions of the law of their country of residence.
  9. Participation in the Event constitutes acceptance of these Terms and Conditions.
  10. The Terms and Conditions are available via designated internal communication channels.

Participation in the Event constitutes acceptance of these Terms and Conditions.

Nothing in these Terms and Conditions shall exclude or limit rights granted to Participants under mandatory provisions of the law of their country of residence.
